Uptool: faster manufacturing quotes still need a human process decision

Uptool turns manufacturing RFQ emails and technical files into an organised quoting workflow for small U.S. machine and fabrication shops. Its reported time savings are promising, but the case shows why capability, lead time, margin and final-price authority must remain with the estimator.

A small, high-mix machine shop can lose a good RFQ before anyone has decided whether the work is profitable. The request may arrive by email with a three-dimensional computer-aided design (CAD) file, a two-dimensional drawing, a bill of materials (BOM) and several revisions. The estimator must find the right files, understand the part, apply material and process rates, and still decide whether the shop can deliver it.

What Uptool does in the quoting workflow

Uptool, a San Mateo company launched from stealth on 4 February 2026, presents a hosted RFQ and quoting workflow for small U.S. manufacturers. It connects one or more inboxes, detects RFQs, organises messages and attachments, and preserves quote status, revisions and customer communications in a dashboard. The product says it extracts information from email, CAD, drawings and BOMs, including native SolidWorks, CATIA and Pro/ENGINEER files as well as STEP, IGES, PDF, DXF and DWG formats. 2 3 8

The proposed estimate is structured rather than a generic chat response. Uptool describes matching CAD files to drawings, extracting part numbers, revisions, descriptions, quantities, materials and finishes, de-duplicating assembly children, and estimating material, finishing, laser, waterjet and bending costs. Configurable calculators, a material and finishing database, and shop-specific equipment and process rates turn those inputs into a draft estimate. 2 4

The boundary is important. The estimator still enters programming, setup and runtime, chooses the machine, sets the number of operations and lead time, applies markup, and decides the final price. Uptool says it is not yet a full enterprise resource planning, manufacturing resource planning or manufacturing execution system. After order acceptance it can generate travellers with routing detail, and QuickBooks can convert estimates into orders or invoices, but public evidence does not show autonomous purchasing, scheduling, capacity reservation or binding customer negotiation. 2 4

What the reported results establish

The strongest named result is from Nathan Dillon of VelocityCNC, who told Uptool that quoting time fell 10x in 2025 and that sales exceeded the prior year by more than 2x. This is a customer/provider-reported association: no quote-count denominator, revenue basis, control period or independent validation is published. It should not be treated as a causal return-on-investment calculation. 3 5 6

The founder separately reported average quote time falling from about 15 minutes per part to 1.5 minutes per part, while the homepage uses a different illustrative claim of 20 to 2 minutes per part and 90% RFQ-to-quote workflow automation. The product page also gives a J.C. Industries example in which email was connected in the morning and quotes were sent by the end of the day. These claims have different bases and are provider- or customer-reported, not audited accuracy, win-rate or margin results. 1 2 4

An illustrative shop application

This is an illustrative application, not a reported deployment. A fabrication shop could use Uptool to collect incoming RFQs, identify the latest drawing and revision, extract quantities and materials, and prepare a draft using its approved rate cards. The estimator would then confirm tolerances, tooling, machine capability, setup and runtime, capacity, lead time, markup and customer-facing terms before sending anything. The useful handoff is buyer RFQ to reviewed quote to accepted order or traveller—not an automatic promise that the selected process is feasible.

A practical test would replay 30–50 closed RFQs across CNC, sheet metal, assembly, revisions and short runs. Compare extraction accuracy, estimator minutes, turnaround time, missed RFQs, revision errors, margin variance and quote-to-purchase-order conversion with the old process. Keep drafts non-binding until a named estimator approves capability, process, lead time, price and the message to the customer.

Cost, data and control questions

Publicly reported pricing is $195 per month for a one- or two-person shop, month to month, with setup and support included; larger shops were described as scaling to about $2,000 per month depending on shop size. A comparison page repeats $195 per month, unlimited users and 30–60-minute setup, but its free-trial information is inconsistent, so current terms need written confirmation. 4 7

Uptool claims AWS GovCloud hosting, annual SOC 2 audits, ITAR-aligned controls and a U.S.-person-only workforce for sensitive data. These remain vendor statements in the retained evidence. Before uploading controlled drawings, a buyer should request the security package and confirm retention, deletion, export, model-training use, tenant separation, permissions and audit history. A pilot should also check stale revisions, conflicting drawing notes, duplicate BOM parts, units, material and tolerance assumptions, stale prices and malicious instructions in attachments. Human approval should be required before sending a quote, creating an order or changing accounting data. 2

Decision and next step

Uptool is a credible commercial RFQ workflow, not an autonomous quoting authority or ERP. Its distinctive value is organising email and technical files while leaving consequential shop and commercial decisions with a human. The company says predictive pricing based on geometry and prior quotes was planned but not yet rolled out at interview time. A closed-RFQ replay, explicit approval gates and verified security and export terms are the appropriate next step—not treating a headline time saving as a guaranteed result. 4
