n8n: workflow orchestration is useful when authority stays with the business

The Berlin-founded workflow platform connects applications, data, code and AI into governed processes. Its customer cases show meaningful operational results, while its licence, hosting and approval boundaries matter for industrial and commerce use.

A manufacturer or distributor rarely needs another generic chatbot. The harder problem is moving a request through email, product records, engineering evidence, procurement systems and approvals without losing the part identity, revision or commercial authority. n8n addresses that coordination problem: it is a visual workflow builder connecting applications and APIs, transforming data, running JavaScript or Python, calling AI models and pausing for human checkpoints. Its current positioning includes AI agents, observability and more than 1,500 integrations. 2 3

Orchestration, not automatic engineering

An illustrative RFQ workflow could receive an email, portal submission or drawing link; identify customer, part, revision, material and quantity; retrieve approved capability evidence; call enterprise resource planning, customer relationship management or product-lifecycle systems; ask an engineer to review an indicative estimate; and prepare a quote draft. This is a practical application, not a reported n8n deployment.

The platform can route and prepare work, but it cannot establish that a drawing is manufacturable, a tolerance achievable, a price current or an estimate a binding offer. Those decisions remain with technical, commercial and credit authorities. A sensible pilot starts with read-only discovery, enrichment, classification and routing before any write or quote-release permission. 2 7

What named customers reported

Vodafone UK says it launched 33 workflows from August 2024 across engineering and its cyber-security operations centre. Its n8n case reports 5,000 person-days saved, £2.2 million in avoided costs and approximately £300,000 per month in continuing savings in 2025; it also describes five-minute checks across an operation processing 3–5 billion events monthly. These are provider-published customer claims, with Bounteous involved as an implementation accelerator. The case does not publish a full denominator, audit or causal split between n8n, partner work and other changes. 9

Delivery Hero reports about 800 account-lockout requests per month handled through one workflow linking manager approval with Okta, Jira and Google APIs. Average lockout time fell from 35 to 20 minutes, described as 200 fewer employee-hours locked out each month. The result has a clear baseline, but implementation cost, error rate and pilot-versus-global scope are not disclosed. 10

Huel reports moving from five initial test use cases to 75 live workflows in six months and nearly 200 later, with more than 100 active users. It says nine months of use saved more than 1,000 manual hours and approximately £100,000 a year in software licences. A three-person central team and departmental “AI Champions” governed the expansion, with approval gates and security monitoring. These figures are customer-reported, without a full counterfactual or implementation total cost. 11

Licence, deployment and cost

n8n is source-available, not open source under the Open Source Initiative definition. Its Sustainable Use License permits internal business use and consulting, but commercial redistribution, embedding a customer-facing instance or letting customers connect accounts and build workflows requires licence review and may require a separate commercial agreement. 4

The free self-hosted Community edition can run indefinitely but omits log streaming, multi-main mode and sharing of workflows and credentials. Public pricing lists Cloud Starter at $20 per month and Pro at $50 per month when billed annually, self-hosted Business at $800 per month, and Enterprise by contact sales. Billing is based on monthly workflow executions; these figures exclude hosting, integration, governance and exception-review staff. 3 5

Self-hosting and JSON workflow export/import support portability and CI/CD, while the API provides REST, command-line, pagination and idempotency capabilities. They do not remove responsibility for secrets, backups, upgrades, monitoring, network exposure, provider limits or incident response. 2 7 8

A sensible first test

For an industrial RFQ, define a gold set of historic enquiries with correct customer, item, revision, units, material, quantity and approved outcome. Measure authoritative-record retrieval, wrong-revision and unsupported-claim rates, clarification time, duplicate actions and reviewer corrections. Log model inputs, outputs and retrieved records; separate credentials by role; quarantine instructions in untrusted documents; and require idempotency for writes.

The documented evolution—from 2019 automation software, through a 2022 AI pivot, to controlled AI orchestration—supports experimentation without granting autonomy by default. n8n reported that about 75% of customers used its AI tools in March 2025, while later product direction emphasised human oversight, evaluations, integrations and collaboration. Roadmap language is not a feature guarantee. 1 6 12
